Create an output structure and place documents — gull system handbook

Step 5 Output documentation: the folder structure, a root folder on disk or the network, placing documents and formats, connecting a structure to a configurator.

Create an output structure and place documents

An output structure is a tree of folders on disk, named fixed or by formula. A document without a folder in it is not saved on an order.

Output documentation has two halves: the structure (folders, in the main menu under Output documentation) and the placement (which of the configurator's documents lands in which folder, in the configurator's step 5). One structure can serve several configurators.

Create a structure

  1. In the main menu Output documentation click Create new structure.
  2. Click Choose root folder and point at an existing folder on disk. The root takes its name and cannot be renamed or given a formula. A network path works: `\\server\shared\Orders` — that is how you hand documents to a system watching a folder. A structure can have several roots.
  3. Add sub-folders with New folder. In Properties a folder has a Name — fixed, or switched with the orb to a Formula, say `[Order number] & " " & [Customer]`. The Preview with default values column shows how the folder comes out.
  4. Save with the header's Save. Open in Windows on the ribbon opens the structure's preview on disk.

Connect a structure to a configurator and place documents

  1. In the configurator open step 5 Output documentation → Folder structures and Connect the structure.
  2. Click Decide where documents in this structure are saved. On the left is the configurator's document tree — the model, drawings, captured flat patterns and BOMs — with an Exports column. On the right under Documents to place are those that have no folder yet.
  3. Drag a document onto a folder. Under Properties → Exports tick Export on each format — the formats are in Export formats.
  4. In the document's Properties adjust the file Name. The default is the source file's name; a formula `[Order number] & "-assembly"` names every order differently. A flat pattern and a BOM default to the captured item's custom name.

Every structure has its own placement. The same configurator connected to two structures can save elsewhere and differently. A document without a folder is not saved into that structure — and the Home screen reports it as "Unplaced documents — some outputs will not be saved".

A structure is a destination in the workflow. The line from the configurator into it is drawn in step 6; without a line nothing is saved into it, even when connected.
